What we do with your data — in plain English.
Short version: while NotePush is free, it runs on synthetic patients only, so there's no protected health information to lose. The real-patient story is below, and it's written to be read — not to be survived.

The short version
NotePush helps hospice nurses write defensible visit notes. To do that we hold an account (your email), the content you chart, and basic usage data. That's it. We don't sell anything, we don't run ad trackers, and we don't share your charts with anyone you didn't ask us to.
While you're on the free tier, every patient is synthetic. No protected health information touches NotePush until you explicitly turn on real-patient mode under a signed BAA.
What we collect
- Account data — the email you sign up or join the waitlist with, and an agency name if you give one.
- Content you create — the visit details you chart, generated notes, and eligibility worksheets.
- Usage data — privacy-friendly, cookieless analytics: which pages loaded, roughly where, no cross-site tracking.
We don't ask for, and don't want, anything we don't need to run the product.
Synthetic vs. real patients
This is the distinction the whole policy turns on.
Synthetic mode (free, today): the patients are fictional. Quick Note and Note Auditor operate on made-up charts so you can learn the workflow with zero PHI risk. Nothing here is a medical record.
Real-patient mode (Pro, on signing): when the BAA chain is signed, you may switch on real patients. From that point your charted PHI is handled as protected health information under HIPAA, encrypted in transit and at rest, and never used to train shared models.
How we use it
- To run the product — generate notes, score audits, build eligibility worksheets.
- To keep your account secure and let you sign back in.
- To understand which features help, in aggregate, so we build the right things.
We do not use your real-patient content to train models that serve other customers, and we never sell or rent your data.
AI & your charts
NotePush uses AI to assemble notes, but it's evidence-constrained: the model only writes what's traceable to a fact you charted. We send the minimum necessary to a sub-processor to generate output, under contract terms that forbid them from training on it.
For real-patient mode, those terms include a BAA. The eligibility worksheet always shows the source value and date behind every determination, so the reasoning is auditable — by you, your DON, or a reviewer.
Sharing & sub-processors
We share data only with the vendors it takes to run NotePush — hosting, the AI model provider, and email delivery — each under a data-processing agreement. We publish the current list on request and notify agency customers before it changes.
We'll also disclose information if the law genuinely requires it, and we'll tell you when we're allowed to.
HIPAA & BAAs
NotePush is built to be HIPAA-capable. Agencies get a Business Associate Agreement as part of onboarding. Until that chain is fully signed for your account, the product deliberately holds no PHI — it stays in synthetic mode.
If you believe you've entered real PHI into a free synthetic account, email us at privacy@notepush.comand we'll purge it.
Your rights
You can access, correct, export, or deleteyour account data at any time. Email the address below and we'll action it promptly. Deleting your account removes your charted content from active systems and from backups on our normal rotation.
